Draws

The Western & Southern Open is hosted at the Lindner Family Tennis Center in Mason, OH. We started by building separate, custom registration portals for volunteers, staff and media guests. These portals collect all the information the credential team required to approve or decline their pass requests.

Western Southern Open Draw 2017

The dedicated volunteer portal made it easy for applicants to choose the committees they wished to work for and the days and shifts they could make. The volunteer portal was also used to collect uniform sizes to ensure organisers had the correct stock levels. AllowMEs Grids module makes shift management easy and intuitive giving committee heads control to see what volunteers have elected to volunteer for and how many years of previous experience they might have under their belt. Once a volunteer has submitted this application, the approval stage is very straight forward and committee heads can easily assign each volunteer, based on their availability to the various shift schedules that they have created.

The mass emailing function of AllowME ensure that all applicants were kept up to date throughout the credentialing process by being sent personalised, automated emails throughout as the credential team worked through the applications.

Our print design engine worked seamlessly with the venues own ID card printers, enabling printing to take place prior to the event.

Movies Western 2017

The 2018 event saw us deploy the largest number of long-range scanners at a single event, which is a major milestone in our company’s progress. The sheer number of scanning station allowed us to completely blanket the event site, creating very large and specific zoned areas. The more scanners that are deployed, the more data that can be collected at an event, with the data being accessed using our customisable reporting engine. Event organisers and security teams were able to see exactly which areas had the most people in and which places were the busiest.

In 2019 we built upon the foundations set in the previous years with the addition of our volunteer management system called Grids. This system allowed committee heads assign shifts to applicants using their dedicated volunteer’s portal. Grids is built straight into AllowME and works seamlessly with the rest of the accreditation workflow.
